How VoiceQuote handles your data

Data we process
VoiceQuote processes account and organization details, customer and catalogue records, quotations, uploaded voice recordings, transcripts, generated drafts, delivery status, customer responses, and security and usage metadata needed to operate the service.
AI processing
When an authorized user requests transcription, the selected recording and its technical metadata are sent to OpenAI. When the user requests a quote draft, the transcript and up to 500 active catalogue items may be sent to OpenAI. AI output is always a draft and must be reviewed before use. VoiceQuote requests non-persistent processing where the provider API supports it, but provider retention and legal terms may still apply.
Service providers
Supabase provides authentication, database, storage, and server functions. OpenAI provides transcription and draft generation. Resend may process customer email addresses and quote attachments for delivery. Google Firebase Cloud Messaging delivers notifications to the Android phones of team members who turn them on; it receives that phone's notification token, a fixed message such as “Quote accepted”, and internal record identifiers — never customer names, amounts or quote content. Hosting and monitoring providers may process limited request and diagnostic data when those services are enabled.
Security and retention
Business records are protected by organization-level access controls. Voice recordings are stored in a private bucket. Public quote links are expiring, revocable, and stored as hashes. We retain data only as needed to provide the service, meet legal obligations, resolve disputes, and prevent abuse. Organization administrators should remove data they no longer need.
Your choices
You can create quotations manually without AI. You may request access, correction, export, or deletion of eligible personal data through the support channel shown inside your account. Some records may need to be retained for legal, tax, security, or dispute purposes.
Deleting your data
A workspace owner can permanently delete a workspace and everything in it from Settings, and export it first. What deletion removes, and what it does not sets out exactly what happens — including that deleting a workspace does not by itself delete your sign-in account.
